Job Scope
Ensure smooth day-to-day office operations while supporting top management, coordinating company-wide events, and driving employee engagement activities that strengthen company culture.
Job Responsibilities
Office Operations & Administration:
- Manage daily office operations to ensure a professional, efficient, and well-organized workplace
- Oversee office facilities, supplies, vendors, and service providers
- Ensure office policies, procedures, and safety standards are followed
- Handle administrative documentation and office-related records
Company Events & Engagement:
- Lead and coordinate company-wide events (e.g. town halls, celebrations, employee activities)
- Work closely with HR and relevant teams to plan and execute engagement initiatives
- Manage event logistics, budgets, vendors, and post-event evaluation
- Ensure events reflect company culture and values
Executive Coordination & Project Follow-up:
- Coordinate closely with top management on meetings, schedules, and key discussions
- Prepare meeting agendas, materials, and minutes
- Track action items and follow up on assigned projects to ensure timely completion
- Act as a communication bridge between management and internal stakeholders
Executive Coordination:
- Coordinate meetings between the regional team and local leadership teams, including scheduling, agendas, and materials preparation.
- Serve as a communication bridge between the Managing Director and local teams, ensuring clear, timely, and accurate information flow
Requirements
Experience:
- Minimum 5 years of experience in office management, administration, executive assistant, or similar roles.
- Good at English, able to work confidently with senior management
- High level of organization, accuracy, and attention to detail
- Experience in company events or employee engagement activities
- Ability to handle confidential information with professionalism
- Proactive, service-oriented mindset with strong ownership
